Privacy Policy 

The International Society for Porous Media (InterPore), which includes the InterPore Academy and the InterPore Foundation, is committed to protecting your privacy and the personal information you provide us with. Personal information is any data with which you could be personally identified. In accordance with the EU General Data Protection Regulation, all personal data is treated as confidential. This privacy policy details what data we collect, how this data is used, how long it is kept, and how one may access, modify, or request deletion of their own personal data. 

 

 

Personal Data Collection

Your personal information is collected directly from you when any of the following events occur:

  • You register as a user on this website
  • You become a member of the InterPore Society
  • Sign up for any of our newsletters or alerts
  • Make a donation to the Foundation
  • Purchase access to a course or webinar under the academy
  • Sign up for participation in our Annual Conference, or any of our National Chapter events
  • Submit an abstract for our Annual Conference
  • Fill out an online contact, suggestion or nomination form
  • Post a job advertisement on the website
  • Submit an application for a grant 
  • Submit an item to the InterPore WikiPore

For any of the above items, you may be asked to enter in your name, email address, mailing address, phone number, credit card information, and other personal information or other details, all of which help improve your user experience. Other categories of personal information may be asked for. 

When you provide information through any of the mediums listed above, we will process your data based on your consent as per Art. 6(1) of the EU General Data Protection Regulation. You may revoke your consent at any time by making an information request to the InterPore Office

The information you entered during registration, or at a later time point, can always be found on your account under “Personal Information”. You can change or delete your personal information at any time, please note that this does not include the deletion of any invoices which may be associated with your account. If you have signed up for any of our newsletters, you may unsubscribe at any time by also logging in to your account, accessing your account details and then “My Newsletters”. 

What Data do we collect?

Our company collects the following types of data, though please note that not all of the information listed below is mandatory for you to provide:

  • Personal identification data (e.g., name, email address, postal address, institution, phone number, etc.)
  • Professional information (e.g., position, career status, experience level, area of specialization, etc.)

Using Personal Data

InterPore may use your personal data for any of the following purposes:

  • To communicate with you regarding any issues, questions or when processing your transactions or in relation to an event which you have signed up for.
  • To tailor your experience and provide content and product recommendations that align with your interests.
  • To enhance our website and communication tools, including chatbots, to better meet your needs, 
  • To send occasional, targeted emails about your orders, event participation, or other products and services offered by InterPore and its affiliated organizations.
  • If you register for and/or participate in an event (Webinar, Course, Annual Conference, etc.), we may monitor attendance and visually document our activities by sharing photos of videos via our social media channels. By registering or participating in an event, you are consenting to the use of your image unless specifically objected to. 

The use of personal data is based on:

  • Contractual necessity – for instance when purchasing a membership or signing up for a course.
  • The legitimate interests pursued by InterPore primarily involve the sharing of information, knowledge, and expertise, as well as fostering connections through the hosting of events for those working in, studying, or interested in porous media and related fields. These activities align with InterPore’s mission. 
  • Where applicable, when you have provided consent for specific purposes – for instance by disclosing data in one of the forms on the InterPore website or via direct contact.

Retention Period

InterPore will retain your personal data for as long as it is necessary to provide you with our services. Certain types of personal data may be required to be held for a set period of time, depending on the applicable statutory retention periods.

Personal Data & Third Parties

Your personal information will not be disclosed or shared with third parties unless necessary to process your transactions, deliver our products, or provide our services. In such cases, the third party is required to maintain the security and confidentiality of your data. This includes, but is not limited to, the following third parties: website hosting providers, IT service providers, financial services providers, and conference management providers.

Additionally, when you register for an event, such as our Annual Conference, your name and other personal details provided on the event website may be visible to other participants.

Under no circumstances will InterPore sell, trade, or transfer your personal information to outside parties, except where required by law or in cases where you have been contacted and provided explicit consent.

Data Protection Measures

InterPore has implemented robust technical and organizational measures to protect your personal data from unauthorized access, disclosure, loss, alteration, or destruction.

All personal data you provide is stored exclusively on secure servers located within the EU, equipped with multiple backup facilities. Your data is safeguarded behind secure networks and is accessible only to authorized personnel with special access rights who are obligated to maintain confidentiality. Furthermore, any sensitive or payment-related information you supply is encrypted using Secure Socket Layer (SSL) technology.

If it becomes necessary to transfer personal data to a country outside the EU that does not meet the EU’s standards for privacy protection, InterPore will establish appropriate safeguards to ensure your data is protected. In such cases, you will retain all your rights and legal remedies as provided under EU law.

Please be aware that any personal data you submit in the InterPore private member search area on the website may be visible to other registered members worldwide.

Data transmission over the Internet (eg when communicating by e-mail) can hold security gaps. Complete protection of data against unauthorized access by third parties is not possible.

Cookies

Cookies are small files that a website or its service provider transfers to your device’s hard drive through your browser (with your permission). Your Rights

You have the right to access, modify, delete, or request the transfer of your personal data collected by InterPore, provided such actions are permitted under applicable law. To exercise these rights, you can contact us directly at webmaster@InterPore.org.
