These Terms and Conditions cover the following areas: Membership,  Annual Conference, Academy Webinars & Courses, and Academy Webinar & Course Code of Conduct

I: Terms & Conditions for Membership

  1. DEFINITIONS

     

    Benefits: The privileges and services available to members, such as event discounts, publication access, or networking opportunities.

    Board: The governing body of the InterPore Society, responsible for decision-making and oversight.

    InterPore Society: Refers to The International Society for Porous Media, abbreviated to “InterPore”, a global organization dedicated to advancing and disseminating knowledge in porous media research and applications.

    Manager: The individual responsible for overseeing and coordinating the members within a specific Membership Group, ensuring compliance with InterPore’s terms and conditions, and maintaining accurate records for the group.

    Member: An individual or organization or Institution with an active membership in the Society.

    Membership Categories: Types of memberships offered by the Society, including Individual, Student, Corporate, and Institutional.

    Membership Fees: Payments required to obtain or renew membership, as outlined on the Society’s website.

    Membership Group: A collection of individual members affiliated with a common entity, such as a corporation, institution, or other organized body, that holds a group membership within the InterPore Society.

    Membership Term: The period during which the membership is active, as specified at the time of registration.

    Privacy Policy: The document outlining how the Society collects, uses, and protects member data.

  2. MEMBERSHIP ELIGIBILITY

     

    1. Membership in the InterPore Society is open to individuals and organizations/institutions interested in porous media research, industry, or education.
    2. Members must adhere to the mission and ethical standards of the InterPore Society.
    3. InterPore memberships are for individual use only. Use of a member’s online login credentials by anyone other than the member is not permitted.

       

  3. MEMBERSHIP CATEGORIES

     

    1. The Society offers different membership categories, including Individual, Student, Corporate, and Institutional memberships. Eligibility criteria and benefits vary for each category.
    2. Proof of eligibility (e.g., student status for Student Membership) may be required upon application or renewal.

       

  4. MEMBERSHIP TERM

     

    1. Membership is valid for the period specified at the time of registration and must be renewed to maintain active status.
    2. Starting January 1, 2025, memberships will operate on a rolling basis, with the start date corresponding to the date payment is made.

       

  5. MEMBERSHIP FEES

     

    1. Membership fees are non-refundable, except in cases of administrative errors or at the sole discretion of the Society.
    2. All sales of InterPore memberships and event registrations are final. If a membership or event registration is purchased in error, please contact the Society at membership@interpore.org.
    3. The Society reserves the right to adjust membership fees annually. Members will be informed in advance of any changes.

       

       

  6. MEMBER BENEFITS

     

    1. Members are entitled to benefits as outlined on the InterPore Society website, which may include discounts on events, access to publications, and networking opportunities.
    2. The Society reserves the right to modify benefits at any time without prior notice.

       

  7. MEMBER RESPONSIBILITIES

     

    1. Members are expected to keep their contact information up to date to receive communications and benefits.
    2. The designated manager of each membership group is responsible for overseeing and managing the members within their group.
    3. Members must comply with the Society's rules and guidelines, including appropriate conduct in events and online forums.
    4. By submitting your email address to InterPore, you agree that InterPore and its partners may send you information related to current and future InterPore events and activities.

       

  8. MEMBERSHIP SUSPENSION OR TERMINATION

     

    1. Membership may be suspended or terminated if a member violates the Society’s rules or engages in activities that harm its reputation.
    2. Appeals against membership termination may be submitted to the InterPore Board within 30 days of the decision.

       

  9. DATA PROTECTION AND PRIVACY

     

    1. Member information is managed in accordance with applicable data protection laws and the Society’s Privacy Policy.
    2. Members consent to the use of their contact details for official Society communications, unless they opt out.

       

  10. LINKS TO THIRD-PARTY WEBSITES

     

    1. InterPore websites may link to other websites and networking tools provided for the convenience of its users. The contents of these websites are maintained by their owners, for which InterPore takes no responsibility.
    2. InterPore is not responsible for the content of any website linking to its website.

       

  11. LIABILITY

     

    1. The InterPore Society shall not be held liable for any direct or indirect damages arising from membership participation or benefits.

       

  12. AMENDMENTS TO TERMS AND CONDITIONS
    1. The Society reserves the right to update these Terms and Conditions at any time.
    2. Members will be notified of any significant changes via email or on the Society’s website.

II: Terms & Conditions for the Annual Conference

  1. REGISTRATION AND PAYMENT

     

    Submission of a registration is regarded as a firm booking and acceptance of these terms and conditions. However, the registration will not be confirmed until full payment has been received.

     

  2. FEE STRUCTURE

     

    1. To qualify for the member registration fee, your InterPore membership must be current for the current year and up to and including the dates of the Conference.
    2. All non-member fees include InterPore membership for 2025.
    3. To qualify for the reduced student registration fee:
  • Students must be enrolled in a full-time study program at a recognized university or institute.
  • A student ID card and/or official proof of enrollment must be provided during registration.

 

  1. The fee for state and federal agencies, research laboratories, and non-profit organizations is the same as for academia.

     

  2. CANCELLATION

 

  1. Any participant wishing to cancel their booking must notify InterPore by emailing: secretary@InterPore.org. The registration fee will not be refunded. The registration fee may be transferred to someone else, see <<Transfer of Registration>>.

    1. Registrants who are not able to access any online portions of the conference due to connectivity issues, website/app restrictions, or any other computer or internet failures will not have their registration fee refunded.
    2. Registrants who are unable to travel to the USA due to VISA denial will be able to change their registration to online participation. Refer to section: 4. CHANGES TO THE REGISTRATION.
    3. No other reasons (illness, change of plans, family problems, etc.) can be accepted for refunding the registration fee.
    4. In the unlikely event of the conference being cancelled by the organizer, a full refund will be made. Liability will be limited to the amount of the fee paid by the participant and there will not be any additional liability to InterPore, Organizing Committee, or any other individual or party associated with the event organization.
    5. In the event that the conference is postponed due to events beyond the control of the conference organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, liability will be limited to the amount of the fee paid by the participant and there will not be any additional liability to InterPore, Organizing Committee, or any other individual or party associated with the event organization. Under these circumstances, the conference organizers reserve the right to refund the fees paid minus a 25% administration fee plus any bank transfer fee incurred.

     

  2. CHANGES TO THE REGISTRATION

    1. In the event the registered participant is unable to travel to Albuquerque, InterPore2025 registration for in-person participation may be changed to online participation. Changes to the registration may be made by notifying InterPore at secretary@interpore.org at the earliest opportunity. In the case of notifications on or before Friday, 18 April 2025, the conference organizers reserve the right to refund the difference in registration fee paid minus a €20 administration fee and any bank transfer fee incurred. After 18 April, the difference in registration fee will not be refunded.
    2. In the case of VISA denial, the participant may change to online participation. Proof of denial is required. Notification is required on or before 18 May 2025. The difference between in-person and online fees will be refunded, minus a €20 administration fee.

     

  3. TRANSFER OF REGISTRATION

 

Should the participant be unable to attend, the registration fee may be transferred to someone else. Transfers may be made by notifying InterPore at secretary@interpore.org at the earliest opportunity and are at the discretion of InterPore.

 

  1. PHOTOS & FILMING

     

    1. In order to expand participation, presentations of invited speakers and keynote speakers as well as live sessions (e.g. opening and closing ceremony, award ceremonies, q & a sessions) will be audio and video recorded and/or live broadcasted by the organizers through web streaming for viewing during and after the conference. Participants may have their image, voice, and chats recorded to be viewed on the conference’s access-restricted site. Pre-recorded presentations will be made available before, during and after the conference to be viewed on the conference’s access-restricted site. When attending this meeting you agree on the collection and the publication of the audio and video recordings and/or web streaming.
    2. Photos taken at the event may be used by InterPore on the InterPore and InterPore Foundation websites, social media platforms and other related publications, for the purpose of providing event- related information to InterPore members and the public and managing InterPore’s public profile. By registering for this event you express your consent to this practice.

       

  2. WEBSITE & LINKS

    The conference and associated InterPore websites may link to other websites and networking tools provided for the convenience of the users. The contents of these websites are maintained by their owners, for which InterPore takes no responsibility. Neither can responsibility be taken for contents of any website linking to this website.

     

  3. CONTACT INFORMATION

     

    1. By submitting your email address during the event registration process, you agree that InterPore and its partners may send you information related to this and future InterPore events and activities. A valid email address is required for all registrations.
    2. Post-conference, exhibitors and sponsors of InterPore2025 may choose to contact participants to inform them of their products and services. You may opt-out of this service at registration.

       

  4. CHANGES AND POSTPONEMENT

    InterPore reserves the right to make alterations to the conference program, venue, platform, and timings at any time. In the event of it being found necessary, for whatever reason, that the conference is postponed, or the dates changed, the organizers shall not be liable for any expenditure, damage or loss incurred by the participant. If by re-arrangement or postponement the event can take place, the booking between the participant and the organizers shall remain in force and will be subject to the cancellation schedule above.

     

  5. LIABILITY

    Views expressed by speakers, sponsors and/or exhibitors are their own. InterPore cannot accept liability for any advice given, or views expressed, by any speaker, sponsor and/or exhibitor at the conference or in any material provided to participants. In addition, InterPore shall not be responsible or liable for any direct or indirect loss or damage of any sort incurred as the result of the services or information provided in connection with the event.

     

  6. DIVERSITY, EQUALITY, AND INCLUSIVENESS

    InterPore is committed to fostering, cultivating and preserving a culture of diversity, equality and inclusiveness in activities related to porous media research and applications, as stated in the Diversity, Equality and Inclusiveness amendment in the bylaws. InterPore affiliates have a responsibility to treat others with dignity and respect at all times. Please report any mistreatment/misconduct by organizers or participants to the ombudsperson via email to ombudsperson@interpore.org. Any formal complaints received by the ombudsperson will be addressed in the council.

     

  7. COPYRIGHT

    InterPore holds no copyright over presentations or abstracts. Ownership of all InterPore conference proceedings remain with the author(s).

     

  8. GENERAL

    We reserve the right at all times to change, amend, add or remove any of the above terms without prior notice. If one or more of the conditions outlined in these <<Terms & Conditions>> should be or become invalid, the remaining conditions will continue to be valid and apply. These <<Terms & Conditions>> apply to all participants of this event, including speakers, sponsors and exhibitors.

 

III: Terms & Conditions for Academy Webinars & Courses

  1. REGISTRATION AND PAYMENT

    Submission of an online registration is regarded as a firm booking and acceptance of these terms and conditions. However, the registration will not be confirmed until full payment has been received.

  2. FEE STRUCTURE

     

    1. To qualify for the member registration fee, your InterPore membership must be current for the current year and include the time period in which the course will take place.
    2. To qualify for the reduced student registration fee:
  • Students must be enrolled in a full-time study program at a recognized university or institute.
  • A student ID card and/or official proof of enrollment may be requested prior to the webinar.
    1. The fee for state and federal agencies, research laboratories, and non-profit organizations is the same as for academia.

       

  1. CANCELLATION

     

    1. Any participant wishing to cancel their booking must notify InterPore by emailing: secretary@InterPore.org. The registration fee will not be refunded. The registration fee may be transferred to someone else, see <<Transfer of Registration>>.
    2. Registrants who are unable to access or attend the in-person or online course due to connectivity issues, website or app restrictions, travel disruptions, or any other computer, internet, or logistical failures will not be eligible for a refund of their registration fee.
    3. No other reasons (illness, change of plans, family problems, etc.) can be accepted for refunding the registration fee.
    4. In the unlikely event of the course or webinar being cancelled by the organizer, a full refund will be made. Liability will be limited to the amount of the fee paid by the participant and there will not be any additional liability to InterPore, Organizing Committee, or any other individual or party associated with the event organization.
    5. In the event that the in-person or online course, or webinar is postponed due to events beyond the control of the organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the organizers, liability will be limited to the amount of the fee paid by the participant, and there will be no additional liability to InterPore, the organizing committee, or any other individual or party associated with the event. Under these circumstances, the organizers reserve the right to refund the fees paid, minus a 25% administration fee plus any bank transfer fees incurred.

Should the participant be unable to attend an in-person or online course or webinar, the registration fee may be transferred to someone else. Transfers may be made by notifying InterPore at secretary@interpore.org at the earliest opportunity and are at the discretion of InterPore.

  1. WEBSITE & LINKS

The in-person or online course, webinar, or recorded course, along with associated InterPore webpages, may include links to external websites and networking tools provided for the convenience of participants. The content of these external websites is maintained by their respective owners, and InterPore assumes no responsibility for their accuracy or reliability. Similarly, InterPore is not responsible for the content of any website linking to its webpages.

  1. CHANGES AND POSTPONEMENT

InterPore reserves the right to make alterations to the program, platform, or timings of in-person and online courses, webinars, or recorded courses at any time. In the event that an in-person or online course, webinar, or recorded course is postponed or its dates changed, for any reason, the organizers shall not be liable for any expenditure, damage, or loss incurred by the participant. If the event can proceed through re-arrangement or postponement, the booking between the participant and the organizers shall remain in force and will be subject to the cancellation policy stated above.

InterPore cannot accept liability for any advice given or views expressed by any speaker, lecturer, sponsor, and/or exhibitor during online courses, webinars, recorded courses, or in any material provided to participants. In addition, InterPore shall not be responsible or liable for any direct or indirect loss or damage of any sort incurred as a result of the services or information provided in connection with these events.

  1. GENERAL

We reserve the right at all times to change, amend, add, or remove any of the above terms without prior notice. If one or more of the conditions outlined in these Terms & Conditions should be or become invalid, the remaining conditions will continue to be valid and apply. These Terms & Conditions apply to all participants of this event, including speakers, lecturers, sponsors, and exhibitors, for online courses, webinars, and recorded courses.

 

IV: INTERPORE ACADEMY WEBINAR & COURSE CODE OF CONDUCT

InterPore values the diversity of views, expertise, opinions, backgrounds, and experiences reflected among InterPore members and the porous media community, and is committed to providing a safe, productive and welcoming environment for all participants of InterPore meetings and events. This Code of Conduct is important to promoting diversity and creating an inclusive, supportive, and collaborative environment for all peoples.

  1. Recording Policy

    InterPore strictly prohibits the use of any device to capture images, sound or videos from this online conference. Streaming, sharing, uploading or rebroadcasting sessions, presentations, and all other parts of the conference will not be tolerated. This applies to all oral and poster presentations, as well as any online discussions or chats conducted through the conference platform.

     

  2. Anti-Harassment Policy

    InterPore is committed to providing a harassment-free environment for all participants regardless of gender, sexual orientation, age, disability, medical conditions, nationality, ethnicity, religion, physical appearance, politics, or ideology. Harassment, intimidation, or discrimination in any form will not be tolerated.

     

  3. Reporting

    If you feel that you are the subject of unacceptable behavior, have witnessed any such behavior, or have other concerns, please notify us at ombudsperson@interpore.org. All reports will be treated seriously and responded to promptly.

     

  4. Consequences

    Anyone requested to stop unacceptable behavior is expected to comply immediately. InterPore staff (or their designee) may take any immediate action deemed necessary and appropriate, including removal from the meeting without warning or refund.
